Child and Family Supports Program Receptionist
KEY RESPONSIBILITIES
Reception, Front Counter, and Client Service
- Serve as the primary first point of contact at the reception or service desk for children, youth, families, community members, visitors, staff, and service partners accessing Child and Family Support Services.
- Greet visitors in a welcoming, respectful, and professional manner, confirm appointments when applicable, and maintain an orderly reception and waiting area.
- Answer, screen, and triage incoming phone calls; respond to routine inquiries; take accurate messages; and route calls to the appropriate staff member or department.
- Provide general information, forms, handouts, and basic direction to clients and community members while ensuring complex or sensitive matters are referred to the appropriate staff member.
- Support basic intake and appointment routing by confirming required information, receiving documentation, and connecting individuals with the appropriate service contact.
- Receive, date-stamp, scan, photocopy, and securely route documents according to departmental procedures, privacy requirements, and applicable legislation.
- Maintain accurate reception records, visitor logs, call logs, referral notes, appointment reminders, and basic follow-up documentation as directed.
- Support culturally respectful service by communicating clearly and courteously while maintaining privacy and confidentiality at the reception desk or service point.
- Use de-escalation and conflict resolution techniques in a busy reception environment and seek assistance from the appropriate staff member when required.
- Verify client identity and required documentation in accordance with established policies and refer complex or sensitive situations to the appropriate staff member.
- Identify and communicate emerging reception, client service, or front-counter concerns to the Director.
Reception Administration and Records Management
- Provide front-end administrative support related to reception services, including correspondence, document preparation, scanning, photocopying, scheduling support, and general office coordination.
- Maintain accurate reception, administrative, and service records in accordance with departmental procedures, privacy requirements, records management standards, and applicable legislation.
- Complete data entry, maintain tracking logs and spreadsheets, and ensure reception and client-service information is recorded accurately and securely.
- Maintain organized filing systems for reception documents, correspondence, intake materials, service logs, referral notes, and front-counter records.
- Sort, distribute, and send incoming and outgoing mail, courier items, general correspondence, emails, and faxes as required.
- Monitor and route general reception inquiries, emails, faxes, and messages to support timely follow-up by the appropriate staff member.
- Assist with inventory and ordering of office, reception, and front-counter supplies and coordinate printing or courier services as needed.
- Maintain secure handling of confidential information, including secure storage, controlled access, and proper shredding or disposal of records.
Appointment, Intake, and Service Navigation Support
- Support appointment scheduling, reminders, room bookings, and front-end logistics for meetings, family appointments, workshops, and Child and Family Support Services activities.
- Assist clients with basic intake steps where appropriate, including providing forms, confirming required documentation, and directing completed materials to the appropriate staff member.
- Maintain appointment schedules, service calendars, sign-in sheets, attendance records, and reception tracking logs as directed.
- Support service navigation by connecting clients and families with the appropriate departmental staff member, internal department, or external service contact as directed.
- Prepare and organize reception materials, handouts, sign-in sheets, forms, and information packages to support accessible and consistent client service.
- Communicate emerging scheduling, intake, documentation, or service navigation issues to the Director or appropriate departmental staff member.
Team Collaboration and Professional Conduct
- Work collaboratively with departmental staff to support reception coverage, front-counter coordination, and responsive client service.
- Participate in team meetings, training sessions, and professional development opportunities related to reception, confidentiality, records management, and client service.
- Maintain professionalism, confidentiality, cultural respect, and sound judgement in all interactions with staff, children, youth, families, community members, visitors, and partners.
- Follow organizational policies, procedures, privacy requirements, and ethical standards related to reception, records management, service delivery, and administrative practices.
- Contribute to a positive, respectful, organized, and welcoming front-office environment.
WORKING CONDITIONS
- Use of standard office equipment and digital systems.
- Sitting and/or standing for extended periods.
- Busy reception, front-counter, and client-service environment with frequent interruptions and shifting priorities.
- Occasional support for community-based programming, meetings, and events.
- Occasional evening or weekend work based on program or community needs.

EDUCATION & EXPERIENCE
- Completion of Grade 12.
- Previous experience providing reception, front-counter, administrative, intake, or client-service support in a community, social service, office, or public-facing environment is considered an asset.
- Experience supporting reception, intake, appointment scheduling, documentation routing, confidential administrative processes, or service navigation is considered an asset.
- Knowledge of community services and resources for children and families, including intake, referral, and service navigation processes, is considered an asset.
- Strong proficiency in Microsoft Word, Outlook, Excel, and PowerPoint.
- Strong organizational and time management skills.
- Ability to maintain confidentiality and demonstrate professionalism in all aspects of work.
- Must provide a clear Criminal Record Check, including the Vulnerable Sector.
KNOWLEDGE, SKILLS & ABILITIES
- Knowledge of administrative practices, records management, and basic reporting processes.
- Knowledge of reception, front-counter service, call triage, intake support, documentation routing, and referral processes.
- Ability to support culturally grounded programming in a respectful and community-focused manner.
- Ability to work with discretion when handling sensitive family, child, youth, and community information.
- Strong computer skills and ability to maintain accurate electronic and paper-based records.
- Ability to organize reception coverage, appointments, documentation, materials, schedules, and communications for programs and meetings.
- Ability to work collaboratively with staff, community members, and external service partners.
- Ability to exercise sound judgement, maintain calm and respectful communication, and seek support when responding to sensitive or escalated client-service situations.
